We are seeking a highly organized and proactive Operations Champion to join our Web3 Podcast / Video Show and Event Company. As the Operations Champion, you will be responsible for ensuring smooth and efficient operations across all aspects of our company, including podcast production, video show management, and event planning. This is a multifaceted role that requires excellent communication and problem-solving skills, as well as a deep understanding of the Web3 industry. The ideal candidate will have a passion for blockchain technology and a proven track record in managing complex projects.  We produce top-tier podcasts, manage large-scale events, and engage deeply with the Web3 & AI communities.

Job Overview:

We are seeking an Operations Champion to join our dynamic team. This role involves managing a wide range of operational tasks, supporting our team in delivering exceptional client service, and ensuring the smooth running of our podcast and daily operations. The ideal candidate will have a strong background in operations, preferably with experience in the Web3 domain.

Time Zone requirements:

Minimum of consistent availability (excluding breaks, meals) between 7am PST and 5PST Monday to Friday plus as-needed support occasionally on weekends. High speed internet and ability to conduct video calls in a quiet private environment is mandatory.

Responsibilities:

General Operations:

  • Oversee team management, including email follow-ups and internal communication and tools
  • Create and update project documentation, including production matrices, run-of-show notes, and event coordination.
  • Conduct end-of-campaign tasks, including gathering campaign results and creating client reports
  • Support social media, newsletter, and blog client campaigns
  • Automation of workflows

Client-Facing Operations:

  • Communicate with external parties regarding podcast shows via email, website, and additional various platforms.
  • Handle inbound requests, conduct due diligence, and manage client communication across various platforms.
  • Ensure clear and effective communication with clients, maintaining high satisfaction levels.

Administrative Support:

  • Assist with meeting coordination and manage travel and event logistics.
  • Maintain accurate records of internal meetings and email correspondence.
  • Support rsvping events - sometimes as many as 20-30 in an event week - and support applications to speak at events as well
  • Manage special projects and ad-hoc assignments as required.
  • Guest coordination, Content Management, Distribution and QA/QC support
  • Manage Guest Coordination and conduct pre-production podcast tasks
  • Perform extensive QA/QC on each show including titling, SEO, descriptions, actual show content, and social posts

Communication & Client Management Skills:

  • Excellent written and verbal communication skills in English.
  • Ability to communicate effectively with clients, team members, and external partners.
  • Analytical and Reporting Skills:
  • Ability to read, interpret, and analyze data for client reporting and internal review.
  • Proficiency in creating detailed reports on project performance, client success metrics, and campaign outcomes.

  • Adaptable to changing priorities and able to handle unexpected challenges with ease.
  • Strong critical thinking and problem-solving skills.

Technical Proficiency:

  • Proficiency with a range of tools including:
  • Communication and Collaboration tools such as Slack, Gsuite
  • Project Management and Documentation tools like Monday, Asana, Quickbooks
  • A basic understanding of Marketing and Social Media / Newsletter management tools such as Loomly, Beehiv, Substack

Bonus skills:

  • Graphic Design Skills including proficiency in using graphic design software like Canva or similar tools and an ability to create appealing graphics for various uses.
  • Preferred Experience
  • Previous experience in operations management, particularly in media, tech, or events.
  • Experience in client-facing roles, ensuring high levels of client satisfaction.
  • Familiarity with the Web3 and AI space and related technologies - the more in depth knowledge the better
  • Proven track record of managing client relationships and ensuring customer satisfaction.
