We are now looking to expand our Berlin-based team with an Office (and Vibe) Manager!

Role

As our Office Manager, you'll be the heart and soul of our workspace, ensuring a lively, well-organized environment that helps our killer team to excel. Your expertise in office management, combined with a natural ability to create an engaging atmosphere, make you the linchpin that holds our team together, fosters a positive culture, and enables seamless collaboration, especially amongst our Berlin team. You should be adaptable, hands-on, and have a passion for nurturing a vibrant workspace - this will be instrumental in driving our success and keeping our team energized and motivated. In this role, you'll be the go-to person for all things office-related, taking charge of keeping our team's spirits high and their worries low! šŸ†

Duties and Responsibilities

Your day-to-day responsibilities will include:

  1. Be present at the office every day to create and maintain a positive work atmosphere. (That means bringing your A-game and your smile every single day!)
  2. Manage all aspects of the office, including supplies, office space organization, and coordinating with external vendors.
  3. Take ownership of all team and external events, from planning to execution, ensuring a memorable experience for all involved.
    1. Weā€™re having a team lunch? Youā€™ll book a great spot for us!
    2. Weā€™re inviting folks from the ecosystem? Youā€™ll make sure they get there, the space is set up, there are snacks, and a welcoming atmosphere.
    3. ETH conference coming up? Youā€™ll coordinate teams travels, tickets, SWAG, potential stand, side events, and other similar tasks.
  4. Act as an all-rounder who isn't afraid to take on tasks big or small, whether it's setting up a new employee workstation or making a coffee run for the team.
  5. Support Ops team with administrative back-office tasks, like internal tools management, payments, translations, etc.
  6. Nurture and maintain our unique office culture, coming up with creative ways to keep our team motivated and engaged.
  7. Be a first point of contact for our team members, always ready to lend a helping hand.

What You Bring to the table

To thrive in this role, you'll need:

  1. At a minimum, 3-5 years of previous work experience as a secretary, office manager, operations, event manager, team assistant, or a similar role.
  2. You have to be an exceptional generalist who can handle any task, big or small, with enthusiasm and attention to detail.
  3. You must be Berlin-based or willing to relocate (weā€™ll sponsor you if needed).
  4. Exceptional communication skills, both written and verbal, in English and in German.
  5. A problem-solving mindset and an ability to adapt quickly to change.
  6. A strong sense of responsibility and ownership, taking pride in your work and the vibe you create.

Your first project with us

We are creating an amazing office space from scratch and you will have the opportunity to own 99% of it! You will be responsible for all big and small details, coordinating between the founders and other stakeholders, choosing designs, buying and arranging furniture and plants, making sure that the space is cozy, organizing a big opening party, and much more!

What a typical day in this role looks like

  1. Arriving in style, bringing positive energy, and checking in with everyone on the team,
  2. Conduct a quick walk-through of the office to ensure the space is tidy and well-stocked with essential supplies.
  3. Check the calendar for any scheduled meetings or events, making sure the meeting rooms are prepared and set up accordingly. Clear any double bookings on C-Level calendars.
  4. Review and respond to any emails or messages from vendors, team members, or event coordinators.

Mid-Morning ā˜•

  1. Maybe organize a surprise coffee or snack run for the team to boost morale and keep energy levels high.
  2. Plan and coordinate upcoming team-building activities, workshops, or social events.
  3. Touch base with team members to address any concerns or needs, and offer your support in resolving any issues.

Lunchtime šŸŒ®

  1. Organize a team lunch or encourage team members to take a break and enjoy a meal together.
  2. Join in on the lunchtime fun, engaging with your colleagues and fostering a sense of camaraderie.

Afternoon šŸŒž

  1. Tackle any office-related tasks, such as organizing files, ordering supplies, or coordinating with vendors.
  2. Ensure that team members have everything they need to hit the ground running.
  3. Oversee the preparation for any after-work events, ensuring a smooth and enjoyable experience for all attendees.

Early evening šŸŒ’

  1. Send out reminders or updates for any upcoming events or deadlines for the next day.
