Join our dynamic team as an Operations Manager for Events where you'll ensure the smooth execution of our company events by coordinating logistics, managing vendors, overseeing budgets, and leading teams. Your expertise will help us create memorable and impactful events.

What You’ll Do:

  • Ensure smooth event execution

    • Logistics: coordinate transportation, accommodation, and event schedules for mates and speakers.

    • Resolve issues, handle FAQs, and ensure a smooth event experience.

    • Lead pre-event briefings, assign roles and teams and hold those team accountable.

    • Coordinate with community lead to manage the recording, collection and post production of content.

    • Ensure rooms are setup and ready with whiteboards, tech, etc.

  • Venue sourcing, selection and management: Select and book venues, negotiate contracts, and ensure venues are ready to host our events.

  • Budget oversight: Create and manage event budgets. Estimate costs, and handle financial transactions mindfully and within the given budget.

  • Vendor relations: Source and manage relationships with hotel staff, caterers, technicians etc.

  • Agenda: Support agenda owner(s) to ship event agenda in the timely fashion necessary for internal planning, external partnership, and speaker invitations.

  • Communication Plan: Create and execute communications plan with different key stakeholders of events.

  • Risk management: manage onsite attendee numbers for events, manage mate safety. License planning for events.

  • Performance evaluation: Collect feedback, assess event success, and report back results and lessons learned.

  • We generally have 1-2 large company events (~50 people), 3-4 smaller team events, and a few additional ad hoc events.

Additionally, as this is an operations role, you will have additional responsibilities which may include things like the following:

  • Internal Learning Series: Speaker selection, socialization, and execution.

  • Navan integration: work with finance to ensure Mates have access to the correct budgets, etc

  • Analysis: work with finance to strategize cost savings or operational improvements that won’t materially detract from participant experience.

Other things you should know:

This role requires moderate travel, likely 8-10 weeks per year, to various locations worldwide. Our events have taken place in diverse countries such as the Spain, Germany, Colombia, across the USA, Turkey, Thailand, Costa Rica, Mexico, and more. Our ideal candidate must be prepared to travel internationally, including obtaining necessary visas (with the capability to do so), and be adaptable to different time zones and event schedules.

Additionally, this is a high intensity position, especially when you’re on the ground for events, where you'll be on call anytime to assist stakeholders. While we strive to consistently improve our planning process, we’re only human and there are often last-minute requests from both internal and external stakeholders. You’ll need to be able to effectively manage these stakeholders expectations, and comfortably navigate the tradeoffs in order to deliver a high-quality event.
